Practice Management

The Practice Management team is involved in managing all of the business aspects of the practice such as making sure that the right systems are in place to provide a high quality of patient care, human resources, finance, patient safety, premises and equipment and information technology. The management team supports the GPs and other medical professionals with delivering patient services and also help to develop extended services to enhance patient care.

Reception staff attend to patients on the phone and in person. They coordinate and organise appointments and documentation to facilitate the smooth running of the Practice, and support delivery of quality patient care. The Reception Staff have a very demanding role. They are there to assist you and we would ask you to be patient during peak times, when the staff have to handle a large volume of calls and enquiries. They will ask you a small amount of personal information about your medical condition – this information is used to ensure your call is dealt with by the correct Clinician and assist fellow Healthcare Professionals who work within the Practice to manage your healthcare and well-being.

Business Intelligence Team

The Business Intelligence Team’s main function is to process clinical documents that come in to the practice, such as letters from the hospital. This involves analysing data within the documents to assign codes for any acute or chronic conditions/diseases/injuries followed by any operations or procedures that have been carried out within the patients care episode. 120,349 documents were processed in 2020, followed by 150,183 in 2021. Business Intelligence, also look after various other facets within the practice, compile practice data to spot trends, Note Summarising, COVID Vaccination administration, Child Immunisations administration, Blood Test Recalls. They are a diverse and hard working team within the practice, which helps to directly reduce work for clinicians allowing them more time with our patients.


We have a centralised secretarial team who deal with a vast amount of day-to-day secretarial work within the practice. We also have a secretarial team administrator who provides support to the secretaries. The senior secretary works alongside the team and leads on new initiatives.

Call Centre

The Contact Centre is a customer focused team, skilled and trained to handle patient interactions through a number of channels including e-consult and telephone. The team prides itself on their ability to navigate patients through their Portsdown Group Practice journey, with professionalism and caring nature whilst handling inbound urgent, routine and general enquiry calls as well as processing eConsults and website queries. On any given day our team can answer anywhere between 800-1200 calls.
